Transport, Logistics & Delivery Edition · Module 4

Cash, COD, Fuel, Expenses & Payment Integrity

Transport and delivery employees may handle money while working away from the office.

Examples may include:

  • Cash on Delivery / COD
  • customer cash payments
  • POS payments
  • fuel money
  • fuel cards
  • fuel vouchers
  • tolls
  • parking
  • loading expenses
  • approved emergency expenses
  • cash advances
  • reimbursements

These transactions can create confusion when employees begin mixing:

COMPANY MONEY

PERSONAL MONEY

CUSTOMER MONEY

and

WORK EXPENSES.

A Driver may think:

“I collected ₦100,000 from the customer. I need ₦15,000 for fuel, so I will remove it and explain later.”

That may sound convenient.

But it destroys the clarity of the transaction.

A stronger system keeps separate:

WHAT THE CUSTOMER PAID

WHAT THE COMPANY RECEIVED

WHAT THE EMPLOYEE SPENT

WHAT WAS AUTHORIZED

WHAT MUST BE REIMBURSED

BY THE END OF THIS MODULE, YOU SHOULD BE ABLE TO:

  • understand how approved payment channels protect everyone
  • handle COD responsibly
  • confirm payments accurately
  • avoid personal-account collection
  • preserve payment records
  • use fuel money, cards and vouchers appropriately
  • make honest expense claims
  • avoid borrowing from company or customer funds
  • avoid unofficial charges and personal side payments
  • report shortages, overages and payment discrepancies honestly

Core Behavior

Keep customer payments, company money and employee expenses separate, traceable and honest.

TrueConduct Principle

Money in your custody is not automatically money you may use.

Remember

Convenience is not a financial control.
