Transport, Logistics & Delivery Edition · Module 3

Customer Communication, Delays & Service Recovery

Transport and delivery work rarely goes exactly according to plan every day.

Problems may include:

  • traffic delays
  • delayed loading
  • wrong address information
  • customer unavailable
  • access restrictions
  • route changes
  • vehicle breakdown
  • missing delivery information
  • warehouse delay
  • payment confirmation delay
  • incorrect item
  • rejected delivery

The employee may not have caused the problem.

But communication still matters.

Customers become more frustrated when they do not know:

  • whether the delivery is still coming
  • why there is a delay
  • what they should do
  • who is handling the problem
  • whether anyone will contact them again

Professional communication does not mean promising what you cannot control.

It means:

  • communicate what is known
  • avoid guessing
  • avoid blaming
  • stay within authority
  • escalate appropriately
  • follow through when possible

BY THE END OF THIS MODULE, YOU SHOULD BE ABLE TO:

  • communicate clearly before and during delivery
  • notify customers appropriately about delays
  • distinguish estimates from guarantees
  • avoid giving information you cannot verify
  • communicate professionally about internal problems
  • respond to complaints without becoming defensive
  • understand service recovery within your authority
  • maintain boundaries with abusive or threatening customers
  • document important communication where required
  • close the loop after a delivery problem

Core Behavior

Keep customers informed without misleading them, blaming others or promising what you cannot authorize.

TrueConduct Principle

Good communication does not remove the delay.

It reduces unnecessary confusion around it.

Remember

Say what you know.

Do not invent what you do not know.
