Lesson 8.7

What If the Manager Is Unavailable?

Estimated time: 8 minutes

This is where judgment becomes especially important.

The manager is not answering.

A situation needs attention.

What should you do?

The answer is not:

“Anything I want.”

And it is not always:

“Nothing until the manager returns.”

Scenario

A customer says an employee previously promised a refund.

The manager who approves refunds is unavailable.

What can the employee reasonably do?

Perhaps:

  • verify the customer’s information
  • check the existing records
  • explain the authorization limit
  • document the request
  • tell the customer when the manager is expected
  • escalate through another authorized route if one exists

What should the employee not do?

Invent authority.

Another Scenario

A child is left waiting for pickup at a school.

The responsible administrator is temporarily unavailable.

That is not a situation where staff should simply say:

“The manager isn’t here.”

The school’s established child-supervision and escalation procedures should be followed.

Before Acting Without the Usual Decision-Maker

Ask:

  • Is there an existing procedure?
  • Is there another authorized person?
  • Can the decision safely wait?
  • Will delay create significant harm?
  • What can I do within my own role now?
  • What must remain for someone with authority?

More Workplace Examples

Office — safe, reversible action

The manager is unavailable and the printer needs ordinary paper.

BETTER RESPONSE

If replacing it is part of your role, use the approved supply and continue; do not change settings or attempt a repair.

Hotel — customer issue

A guest reports that a room is not ready.

BETTER RESPONSE

Check the actual room status, acknowledge the inconvenience and use an approved alternative if authorized. Do not invent a ready time or promise free accommodation.

Retail — payment decision

A customer requests a refund beyond your limit.

BETTER RESPONSE

Check and document the transaction through approved procedures and contact the alternative authorized approver.

The absent manager does not make the refund yours to approve.

Restaurant — safety problem

A worker notices a possible hazard while the manager is not answering.

BETTER RESPONSE

Stop the affected activity if safe, protect people without approaching the hazard and follow the urgent safety reporting and escalation process; do not wait for the manager or attempt a repair.

Delivery business — beyond your authority

A supplier asks you to sign a new contract before the manager returns.

BETTER RESPONSE

Record the request and contact an authorized signatory through the established route.

An urgent deadline does not give you signing authority.

Remember

A manager being unavailable does not erase workplace procedures.
