Supervisor Foundations · Lesson 7.10
CLOSE THE LOOP WITH BOTH CUSTOMER AND EMPLOYEE
Complaint handling should not end once the customer leaves.
A supervisor may need to close the loop with:
THE CUSTOMER
and
THE EMPLOYEE.
With the customer, follow-up may include:
- confirming the issue was resolved
- giving an approved update
- explaining the outcome that can appropriately be shared
- thanking them for raising the concern
With the employee, follow-up may include:
- feedback
- clarification
- coaching
- recognition if the employee handled the matter correctly
- correction if improvement is needed
- documenting important issues
- fixing a system problem identified during the complaint
Poor
Customer complaint is resolved.
Supervisor never speaks to employee again.
The same problem happens next week.
Better
After resolving the customer issue, the supervisor reviews what happened with the employee and addresses any needed improvement or system change.
WORKPLACE EXAMPLES
EXAMPLE 1
Employee handled policy correctly but communication poorly.
Supervisor supports the decision and coaches the communication.
EXAMPLE 2
Complaint was unfounded.
Supervisor tells the employee the review supported their account rather than leaving them feeling accused.
EXAMPLE 3
Complaint reveals an unclear policy.
Supervisor corrects the system rather than blaming staff repeatedly.
EXAMPLE 4
Employee clearly made an error, improves after coaching and later handles a similar situation well.
The supervisor recognizes the improvement.
Remember
A complaint should produce learning—not just temporary damage control.
Workplace action
After an important complaint, ask: What should the customer know? What should the employee know? What should the organization learn?
Quick Check
Why should supervisors close the loop after a complaint?
