Supervisor Foundations · Lesson 3.9

AGREE ON A CLEAR NEXT STEP

A feedback conversation should not end with:

“Just improve.”

The employee should understand what is expected next.

A useful next step may include:

  • specific behavior
  • deadline
  • practice
  • checklist
  • follow-up date
  • additional training
  • documentation
  • escalation if the problem continues

Poor

“Make sure this doesn’t happen again.”

Better

“For the next two weeks, verify every refund against the receipt and approval requirement before processing it. I’ll review the first few with you today, and we’ll check progress next Friday.”

WORKPLACE EXAMPLES

EXAMPLE 1

Problem: Repeatedly incomplete handovers.

Next step:

BETTER RESPONSE

Use the handover checklist for each shift and review it with the supervisor at the end of the week.

EXAMPLE 2

Problem: Interrupting customers.

Next step:

BETTER RESPONSE

Allow the customer to finish explaining before responding and use a brief acknowledgment before offering a solution.

EXAMPLE 3

Problem: Late reports.

Next step:

BETTER RESPONSE

Send a progress update the day before the deadline if completion is at risk.

EXAMPLE 4

Problem: Booking errors.

Next step:

BETTER RESPONSE

Confirm date, time and service verbally with the customer before saving the appointment.

Remember

A conversation without a next step may produce awareness without improvement.

Workplace action

End feedback conversations with: “What will you do differently next time?”
