School Owner/Admin Foundations · Module 4
PARENT SERVICE, COMPLAINTS & SCHOOL COMMUNICATION SYSTEMS
Parents and guardians are major stakeholders in a school.
They may contact the school about:
- fees
- academics
- student behavior
- transport
- pickup
- events
- communication
- staff conduct
- safety
- records
- complaints
A school may have good staff and still frustrate parents if the system is weak.
Common problems include:
- parents receiving different answers from different employees
- complaints disappearing after being reported
- staff promising outcomes they cannot approve
- sensitive matters being discussed publicly
- serious complaints reaching the wrong person
- no one knowing who owns follow-up
- WhatsApp becoming the only source of important information
- parents repeatedly calling because nobody closes the loop
Good parent service does not mean:
“The parent is always right.”
It means the school has a professional system for:
- listening
- verifying
- responding
- documenting
- escalating
- protecting privacy
- following through
BY THE END OF THIS MODULE, YOU SHOULD BE ABLE TO:
- define a school-wide parent service standard
- create clear ownership for parent enquiries and complaints
- distinguish routine concerns from serious escalation
- prevent unauthorized promises
- protect staff while handling angry or abusive parents
- create useful complaint records
- protect privacy during complaint handling
- improve communication consistency
- close the loop on unresolved matters
- learn from complaint and communication patterns
Core Behavior
Build a parent-service system that is respectful, consistent, traceable and fair.
TrueConduct Principle
A parent deserves respect.
A complaint deserves review.
Neither automatically determines the verdict.
Remember
Parent service should not depend on which employee happens to answer the phone.
