Lesson 7.3
Receipts, Refunds, Overpayments & Transaction Records
Estimated time: 7 minutes
A good transaction should leave a clear record.
Depending on the workplace, that may include:
- receipt
- invoice
- order number
- transaction reference
- payment record
- refund record
Why Records Matter
Records help answer:
- Who paid?
- How much?
- For what?
- When?
- Which payment method?
- Was a refund issued?
- Who authorized it?
- Was the customer given confirmation?
Scenario — Extra Payment
A customer accidentally pays more than required.
Module 3 taught:
The extra money does not become yours.
Operationally, Module 7 adds:
The employee should follow the workplace’s process for documenting and resolving the excess payment.
Central Bank of Nigeria (CBN) electronic-payment rules include procedures for handling wrong or excess electronic payments within regulated payment systems, reinforcing the broader principle that erroneous payments should be identified and properly resolved rather than casually appropriated.
Refunds
Do not:
- invent a refund policy
- refund cash personally without authorization
- send money to a different account just because someone requests it
- erase the original transaction
- promise a refund outside your authority
Follow the approved process.
Remember
A financial transaction should be explainable later—not remembered only from somebody’s story.
