Lesson 1.7

Respect Does Not Mean Saying Yes to Everything

Estimated time: 5 minutes

Some employees believe good customer service means saying yes to every request.

It does not.

A customer may request:

  • an unauthorized discount
  • free products
  • a refund outside policy
  • private information
  • special treatment
  • a rule to be ignored
  • something because they “know the owner”

Professional employees maintain standards respectfully.

Poor

“No. We don’t do that.”

Better

“I’m sorry, I’m not authorized to apply that discount. I can check whether there are any approved options available.”

The answer may still be no.

The difference is how the customer is treated.

“But I Know the Owner”

Knowing the owner does not automatically give a person permission to:

  • skip a queue
  • bypass payment procedures
  • receive unauthorized discounts
  • remove stock without documentation
  • override employee rules

If the owner has approved an exception, it should be communicated through the appropriate process.

Know the Policy

Employees should understand the policies they are expected to explain.

For example:

  • refunds
  • returns
  • deposits
  • discounts
  • delivery times
  • reservations
  • cancellations
  • payment channels

Do not invent a rule because you do not know the actual policy.

If unsure:

“Let me confirm the policy before I advise you.”

More Workplace Examples

Refund you cannot authorize

A customer demands an instant cash refund that only the manager can approve.

Saying yes would break procedure; saying a flat “no” would inflame the situation.

A better response:

BETTER RESPONSE

“I understand you want this resolved today. I cannot approve a refund myself, but let me get my manager for you now.”

Demanding to skip the queue

A customer insists on being served before people who arrived earlier.

A better response:

BETTER RESPONSE

“I will be glad to help you. These customers were here first, so I will attend to you right after them.”

Fairness to one customer should not mean unfairness to everyone else.

Asking for confidential information

A caller asks for another customer’s phone number, or a coworker’s personal details.

A better response:

BETTER RESPONSE

“I am not able to share that information. If you leave your own number, I can pass a message along.”

“Just this once, break the rule”

A regular customer asks the employee to sell on credit, against workplace policy, “just this once.”

A better response:

BETTER RESPONSE

decline respectfully, explain the policy, and offer any alternative the policy allows.

Remember

Professionalism means being helpful without abandoning standards.
